Real Estate Follow Up Scripts: SMS and Email Templates That Get Replies

You got the lead. You sent a first text. Then nothing. Three days later you type "just checking in" and hope for the best.

That is how most portal and website leads die. Not because the buyer vanished, but because the follow-up was generic, or it stopped after one or two touches. Real estate follow up scripts fix both problems: something specific to say, and a path through the next two weeks.

For solo agents who freeze after first contact. Why follow-up fails, how to sound human, then SMS and email you can copy.

Why most lead follow-up fails

Too generic. "Thanks for your inquiry. Let me know how I can help!" says nothing about the house or neighborhood. Buyers ignore it.

Gives up too early. One follow-up text. Maybe one email. Then silence. Plenty of buyers are still shopping. A short cadence over 14 days beats one perfect first reply.

Speed still matters. If response time is broken, fix that first with a speed to lead process. Scripts only help if the lead gets them while warm.

Tone that gets replies

Three rules for every follow-up text and follow-up email:

  • Sound like a person. Short sentences. Your name. No "reaching out regarding your recent inquiry."
  • Reference the property or area. Address, neighborhood, or zip. Prove you read the form.
  • Ask one easy question. Tour timing, sell timeline, or a yes/no. Save deep qualify questions for later.

First response: buyer inquiry

Use this when someone asks about a listing or homes in an area.

First response: seller or valuation inquiry

Valuation leads want a number and a sense that you know their street. Do not pitch a listing appointment in the first line.

After-hours reply

Leads at 9 p.m. still need a human-sounding reply. Acknowledge now. Set a clear next step for morning.

Day 1: value touch

No "just checking in." Give one useful thing: a similar listing, a one-line market note, or an offer to send comps.

I can send the link and a quick note on how it compares, or keep the focus on [original property] if that is still the priority. Which would be more useful?

Day 3: direct ask

By Day 3, be clear. Ask for a next step.

I want to respect your time. For [Address / homes in area], would you like me to hold a tour time this week, or is it better if I check back when your timeline is clearer?

Either answer works. Just reply with "tour" or "later" and I will take it from there.

Day 7: soft reopen

New inventory or a timeline question. Keep it light.

Hi [Name],

A few homes came on the market this week in [neighborhood or price range] that line up with what you asked about earlier. Happy to send a short list if you are still looking.

If timing shifted, no problem. Reply "pause" and I will hold off until you say otherwise.

Day 14: polite close

End the active cycle cleanly. Leave the door open. Move quiet leads to longer nurture.

Hi [Name],

I have not heard back, so I will pause active follow-up on [Address / your search in area] for now. No hard feelings. Timelines change.

Make these real estate follow up scripts yours

Copy the structure. Change the details. Every message needs the lead's name, the property or area, and one question only. Read the SMS out loud. If it sounds fake, rewrite one sentence until it sounds like you.

Keep a short bank on your phone for each scenario above. Stop the sequence the moment they respond. Continuing lead follow-up after a reply looks broken.

How to know the scripts are working

Track three numbers for two weeks:

  • Reply rate within 48 hours of first contact
  • Appointments set per 20 new leads
  • Touches before first reply (many connects land on Day 1 or Day 3)

Low replies? Tighten the first SMS. Name the property and ask a yes/no. Fine replies but few appointments? Your Day 3 ask is too soft.
